JLL is seeking a dynamic individual to join our team as a Brokerage Coordinator in Toronto. In this vital role, we rely on you to provide reliable, efficient, and timely support to our esteemed Office Brokerage Team. Working closely with crucial stakeholders and clients, you will plan, prioritize and organize all facets of a listing and details of a deal transaction. This team is fast-paced and your attention to detail, strong organizational skills, and collaborative mindset will be indispensable in delivering exceptional support services to them. This role works with the team onsite at the JLL Corporate Office in the Financial District. WHAT YOU’LL BE DOING: Partner with Broker Lead to translate Leaderships business objectives into strategies and execute those strategies. Create, review, and/or prepare market surveys, tour books, and presentations Assist in deal-making process as required: edit offers lease/Letters of Intent, track offers in progress and follow through on execution; coordinate flow of documentation and information between company and clients Plan, coordinate, and/or facilitate client & broker events, as required and in collaboration with administrative team Support all property marketing activities such as i.e. utilizing InDesign/Canva templates for brochures, signage, post cards, CIMs etc., utilize Eloqua to deploy property marketing email campaigns, use social media channels like LinkedIn and update listings on MLSs to market properties online, coordinate with photographers and virtual tour providers. Lead the coordination of signage needs for the team (creative, production, vendor management, tracking etc.) Perform SAR & Dealio related tasks (e.g. prepare report updates; enter database entries; create/prepare, review, or maintain cheque registers; ensure accurate and timely invoicing; follow up with stakeholders as required; etc.) Prepare and remit applicable brokerage authority reports updates (e.g. mandate register; transaction register; etc.) Liaise with research team to create demographic materials Prepare, review, and/or edit applicable documents (e.g. legal paperwork; mandates; commission agreements; formatting offers; request for proposal; etc.) Prepare and remit expenses in an accurate and timely manner (e.g. monthly Profit & Loss Reports; Broker Expenses; Training Expenses; etc.) Actively participate in team workflow management to ensure collaboration and connectivity with other business lines regionally and nationally Partner with Marketing & Brokerage Support Lead, Design Hub, Marketing Coordinators, and peers across the country to execute best-in-class property marketing plans Attend and participate in all Marketing and Brokerage Support meetings led by National Marketing and/or the Marketing & Brokerage Support Team Lead Proofread applicable documents as required (e.g. quarterly reports, white papers, RFPs, etc.) Keep up to date and champion the use of JLL technologies Any other reasonable duties and responsibilities assigned Maintains required competencies around all required software including, but not limited to Microsoft Office suite, Dealio, CoStar, Blackbird, Google Earth, Eloqua, CRM, Spider, Aero, and others, as required.
