Position Overview:
ERIS has an opening for a highly organized, proactive, and detail-oriented
Executive Assistant to provide comprehensive support to our executive/management team. This critical role requires professionalism, discretion, and adaptability in a dynamic, fast-paced environment. The Executive Assistant will optimize executive productivity, facilitate seamless operations, and ensure the organization runs efficiently.
We are looking for someone who thrives in an administrative support role, excels at multitasking, and creates a positive work environment. This position plays an essential part in maintaining office functionality, coordinating communications, and supporting team members.
This is an on-site full-time position in the Toronto office, working 35 hours per week, with some flexibility for work from home on occasion.
Specific Responsibilities and Daily Tasks:
- Support administration of the executives’ schedules, including being aware of meetings, appointments, and travel arrangements.
- Provide administrative support to leadership and team members as needed.
- Track travel using Outlook calendar and Excel.
- Submit expense reports on behalf of some executive team members.
- Monitor office-related expenses and ensure cost-effective purchasing.
- Prepare, review, and track invoices and vendor payments.
- Disseminate company-wide communications in a timely and efficient manner.
- Handle sensitive information with the utmost discretion and integrity.
- Maintain accurate records, databases, and spreadsheets.
- Maintain the vault of central contracts for the corporation.
- Prepare, edit, and format emails, documents, presentations, and reports as needed.
- Assist in planning and executing company events, meetings, team-building activities, and training sessions.
- Prepare agendas, presentations, and reports for meetings; take detailed meeting minutes as required.
- Work in conjunction with the Office Managers’ (Toronto and Austin, TX) daily office operations, including organizing and maintaining files, supplies, and equipment.
- Back up administrative staff as needed.
- Collaborate with other team members to streamline office processes and improve efficiency.
- Develop and enforce office policies and procedures.
- Address operational challenges proactively to maintain workflow and efficiency.
- Assist in planning and executing key projects, ensuring deadlines are met and stakeholders are informed. Provide administrative support for team projects.
- Build and maintain positive relationships with key stakeholders, clients, and team members. Foster a welcoming and inclusive workplace culture.
- Occasionally arrange travel plans, including flights, accommodations, and transportation. Organize complex travel itineraries for accommodations and catering for staff events. Staff are responsible for arranging their own travel.
Other responsibilities, including but not limited to:
- Determine priority of matters of attention for the Executive Management Team; redirect matters to staff to handle, or handle matters personally, as appropriate.
- Keep the Executive Management Team advised of time-sensitive and priority issues, ensuring appropriate follow-up.
- Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.
- Work with the Marketing Team to ensure all documents, contracts, and agreements, etc., align with company branding, and are impeccably written.
- Other duties as required from time to time.
Required Experience, Knowledge & Skills:
- Bachelor’s degree in business administration, Communications, or a related field (preferred).
- Minimum 5-7 years of experience as an Executive Assistant, Administrative Assistant, or in a similar role.
- Skills:
- Exceptional organizational, multitasking, and time management skills.
- Attention to detail, proofreading, and English grammar required.
- Strong written and verbal communication skills. Ability to draft memos, letters, and other correspondence without AI.
- High level of professionalism and discretion in handling confidential information.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, etc.), Google Workspace, or other software relevant to the company.
- Adaptability in a fast-paced, ever-changing, dynamic environment.
