Key responsibilities
Reception & Office Coordination
You will be responsible for the day‑to‑day running of reception by:
- Welcoming visitors and ensuring a professional, friendly front‑of‑house experience
- Managing incoming calls, emails and deliveries
- Coordinating meeting rooms, guest access and refreshments
- Supervising the reception and shared areas
- Acting as the first point of contact for general office queries
- Liaising with facilities, IT and building management when needed
Executive Assistant Support (3 Executives)
You Will Support Three Executives By
- Managing calendars, meetings and room bookings
- Coordinating internal and external meetings
- Preparing agendas, documents and basic presentations
- Handling travel bookings and itineraries
- Managing expenses, invoices and basic reporting
- Following up actions and deadlines to keep work moving
- Acting as a trusted point of contact for stakeholders
Administration & Organization
You Will Also
- Maintain organized digital and paper filing systems
- Support onboarding logistics for new starters
- Assist with ad‑hoc projects and administrative tasks
- Maintain confidentiality at all times
It Would Be Better If You Are Someone Who
- Stays calm when reception is busy
- Can priorities across three executives without prompting
- Spots issues early and fixes them before they escalate
- Communicates clearly and professionally
- Is comfortable saying “I’ll come back to you” rather than guessing
Essential
Skills and experience
- Experience in a receptionist, EA or office support role
- Able to be in the office every day
- Strong organization and time management skills
- Clear written and verbal communication
- Confidence dealing with senior stakeholders and visitors
- Good working knowledge of Outlook, Word, Excel and Teams ( and Concur)
Desirable
- Experience supporting multiple executives
- Experience in a corporate or professional services environment
- Fluent in English and Arabic
Working style expectations
- Hands‑on and proactive
- Reliable and discreet
- Comfortable switching between tasks
- Happy to be office‑based as a visible presence
Basic Qualifications
- Bachelor's degree in a relevant field or equivalent combination of education and experience
- Typically, 4+ years of relevant work experience
- Proven experience in administration
- Proficiencies in administration and analysis
- A continuous learner that stays abreast with industry knowledge and technology
