Salary:
Position: Mechanical Estimator/Coordinator Reports to: VP of Operations
Our Mechanical Estimator provides exceptional service with Developers and Suppliers. It is the Mechanical Estimators responsibility to estimate incoming jobs with accuracy and a high regard for attention to detail, followed by meeting deadlines of schedule bids going out on time.
This position is also responsible for the support and coordination to the Project Manager on current and upcoming projects. This could include administrative work, collecting documents, follow up with developers, etc. This position will be primarily based in the office and candidates must have a strong background in estimating new construction plumbing and heating. Applicants who do not have this background will not be considered for the position.
POSITION REQUIREMENTS:
- 5+ years of mechanical estimating experience in construction is a requirement
- Bachelor's degree in Engineering or Project Management Education/Certification
- Ability to read and interpret mechanical drawings, specifications, and tender documents
- Proficiency with Procore and Microsoft Office (Excel, Word, Outlook)
- Strong attention to detail with excellent timemanagement and organizational skills
- Solid understanding of mechanical systems and construction processes
- Strong communication skills and ability to work with engineers, suppliers, and internal teams
- Ability to manage multiple estimates and meet tight bid deadlines
- Legally eligible to work in Canada; valid drivers license considered an asset
ROLES & RESPONSIBILTIES:
- Review proposals, blueprints, specifications, and related documents through Procore to determine labour, materials, and timelines required for new construction projects.
- Prepare detailed and accurate cost estimates for mechanical systems, fully utilizing Procore for all estimate documentation.
- Collaborate closely with engineers, contractors, manufacturers, and other trades to ensure estimates comprehensively reflect project scope and requirements.
- Lead proposal development by preparing clear, thorough bid submissions detailing project scope, inclusions, and assumptions.
- Evaluate subcontractor and supplier bids for competitiveness, accuracy, and their ability to meet required quantities, schedule, and performance expectations.
DESCRIPTION OF DUTIES:
- Provide suggestions for cost savings and process efficiencies related to labour, materials, equipment, and waste reduction.
- Issue contracts and purchase orders after review with the Owner and VP of Operations, including communication with suppliers and wholesalers to negotiate optimal pricing.
- Review blueprints and product specifications to accurately determine the cost and feasibility of project requirements.
- Maintain ongoing communication with the Owner and VP of Operations regarding the status of estimates, outstanding information, and updates from all stakeholders contributing to bids and proposals.
- Calculate material quantities, labour hours, equipment costs, and all other elements required to develop complete and accurate estimates.
- Coordinate with engineers, contractors, manufacturers, and clients to fully understand project scope, design intent, and any unique requirements.
- Maintain organized and detailed records of all estimates, revisions, correspondence, and supporting documentation, ensuring all information reflects the most current project conditions.
- Demonstrate leadership by following and promoting all company policies, procedures, and safety standards at Tap Roots and on job sites.
- Communicate promptly with suppliers, developers, subcontractors, and internal stakeholders; respond to emails and requests in a timely and professional manner.
OTHER:
- Provide project assistance to the Owner and VP of Operations as assigned.
- Support the Project Manager during vacation coverage or when additional coordination is required.
- Arrange couriers, pickups, or deliveries for hardcopy drawings and documents when required.
- Work flexible hours as needed to meet bid deadlines, project requirements, or workload demands.
