About the Position
As the Executive Assistant you will be responsible for working closely with the partner(s), Senior Executive Assistant & other team staff to complete confidential administrative tasks and support.
This role will start off as an in-office position and potentially transition to a hybrid role after the initial few months of employment.
Summary of Responsibilities
- Collaborate with other administrative staff to ensure smooth operation of the office and support team-wide initiatives.
- Handle incoming and outgoing correspondence, including phone calls, emails, and letters, and respond or redirect inquiries as appropriate.
- Perform general administrative tasks, such as photocopying, scanning, and filing documents.
- Prepare and edit various business documents, such as memos, letters, reports, and presentations.
- Assist in the preparation, typing, editing, and formatting of various documents or letters
- Handle incoming and outgoing registered mail, packages, and deliveries and coordinate couriers.
Assist with client relations, perform tasks such as:
- Serve as the primary point of contact for clients, maintaining a professional and friendly demeanor.
- Prepare and distribute year end/tax packages for clients.
- Track status of various financial statements, tax returns and other filings and work with managers to ensure all filings are completed on timely basis.
- Register clients with CRA and serve as a liaison between the two parties.
Summary of Experience
- 2+ years executive assistant or administrative support experience
Requirements:
- College degree
- Previous experience working in a professional services firm an asset
- Demonstrated ability to work well independently and under pressure in a fast paced environment
- The ability to work well both independently and in a team environment
- Strong oral and written communication skills (including strong spelling, grammar, editing, proof-reading, and punctuation skills).
- Strong organizational skills and the ability to prioritize multiple responsibilities
- Experience working with iFirm and CRA is an asset
- Advanced knowledge of MS office applications
Job Details
- Job Vacancy Status: New Vacancy
- Hours of Work: 35 hours per week; this role will occasionally require overtime as necessary to meet operational and professional requirements.
- Location: 201 Bridgeland Ave, North York, Hybrid
- Salary: $55,000- $65,000
- Compensation placement will be based on depth of experience, demonstrated skill set, and alignment with the responsibilities of the role.
