The role
The Coordinator will play a crucial role in supporting Community and Stakeholder Relations for the project. This position requires strong organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously. The person will be responsible for various administrative duties to ensure the smooth operation of the team and effective communication with stakeholders.
Reporting to the Vice president, Local Government & Community Partnership, the selected candidate will be working under the team’s Hybrid Working Model. This model requires employees to work 3 days/week in the Toronto office or on business travel. The remainder of the work week can be spent working from a home office. The individual will require the skills and personal attributes to support this goal and should be able to work with minimal direction and exercising strong initiative, judgment and confidentiality.
The responsibilities
- Communication: Assist in the preparation of internal and external communications, including drafting emails, memos, and correspondence. Maintain contact lists and databases of stakeholders.
- Document Management: Assist in the creation, editing, and formatting of documents, presentations, and reports. Maintain an organized filing system for easy retrieval of information.
- Meeting Coordination: Coordinate and schedule meetings, prepare meeting agendas, and take minutes. Ensure timely distribution of meeting materials and follow-up on action items.
- Relationship Management: Support the Lead of Community and Stakeholder Relations in building and maintaining positive relationships with internal stakeholders (GoC, TC, other teams) community members, stakeholders, and government agencies.
- Administrative Support: Provide administrative support to the Vice president, Local Government and Community Partnership, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Event Planning: Assist in the planning and coordination of community engagement events, stakeholder meetings, and public consultations. This includes venue selection, logistics, and coordination of materials.
- Research and Analysis: Conduct research and gather information on community and stakeholder engagement best practices, industry trends, and relevant regulations. Provide summaries and analysis to support decision-making.
The requirements
- College diploma in a relevant field or equivalent experience.
- Minimum 5 years experience in a similar role.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills (bilingualism is an asset).
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Attention to detail and ability to maintain confidentiality.
- Ability to work independently and as part of a team.
- Knowledge of community engagement principles and practices is an asset.
