Role Overview:
Our Toronto office is currently recruiting for an Administrative Assistant in our Information Technology Department, reporting to Chief Information Officer for a 1-year contract. This role requires a candidate who will be responsible for scheduling CIO and Director meetings and coordinating budget submission timeline and meetings. The ideal candidate must be confident and dependable, with strong initiative and ability to work both independently and in a team-oriented atmosphere.
The successful candidate will be responsible for:
- Scheduling CIO and Director meetings on Outlook.
- Reserving collaboration spaces via TANGO, including AV services and food.
- Taking minutes for IT Management and TAG Quarterly meetings.
- Following up on action items to the CIO.
- Tracking and reporting departmental expenses; assisting with IT budget development and monitoring.
- Obtaining and analyzing monthly expense reports from AP team to ensure correct allocation and amortization.
- Coordinating budget submission timeline and meetings, including management team reviews and finalization by CIO and Director.
- Handling email correspondence for administrative tasks with other department teams and firms.
- Assisting with ordering miscellaneous items from Amazon
- Assisting with minutes and action items for TAG and weekly IT Management meetings
- Proofreading reports and Power Point presentations.
The successful candidate must have the following education, experience and/or demonstrated skills:
- Minimum of 2 years of administrative assistant experience required.
- College degree or Diploma required.
- Very strong people and team leadership skills.
- Strong computer skills including Microsoft Office.
- Intermediate Microsoft Excel skills.
- Ability to organize and prioritize workload in a busy environment.
- Strong proofreading skills along with excellent written and oral communication skills.
- Ability to execute procedures with accuracy
- Ability to exercise independent judgment.
- Excellent interpersonal and client service skills.
- Confident and dependable, with strong initiative and ability to work both independently and in a team-oriented atmosphere.
