Medical Office Administrator for Dr. Will Allanach, Orthopedic Surgeon (Covering Maternity Leave)
We are seeking a dedicated and organized Medical Office Assistant to cover a Maternity leave. This role is essential in ensuring the smooth operation of the office, all administrative tasks, and delivering excellent patient care. The ideal candidate will possess strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
The position will start full time March 2025. This allows us ample opportunity on finding the right candidate.
Responsibilities of the MOA specifically for an Orthopedic Surgeon:
-Oversee daily operations of the practice for smooth workflow.
-Manage appointment scheduling for consultations, follow ups, and surgical procedures—optimizing the surgeon’s schedule.
- Patient Coordinator
- -You will serve as the main point of contact for patients, addressing inquiries and concerns. Must have excellent phone etiquette.
- -Facilitate communication between surgeon and patients ensuring patients are informed of all treatment plans.
- Data Management
- Maintain and update patients records, all communication with patient, ensuring accuracy of medical history, treatment plans and surgical outcomes.
Manage electronic health records (using Telus PS suite EMR) such as filing and data entry.
- Financial Management
- - Handle billing and coding specific to practice procedures and services.
- -Manage accounts receivable, follow up on unpaid claims and process all billings that were paid through Medicare NB, Worksafe NB, or private insurance companies.
- Compliance and Regulatory Oversight
- - Ensure practice adheres to healthcare laws and regulations, including HIPAA for patient confidentiality.
- Surgical Coordination
- - Communicate with hospitals for scheduling surgical procedures
- -Communicate with patients regarding their pre surgical, post operative care
Requirements
- Medical Administration diploma
- Previous experience as a medical office admin of over 3+ years is also preferred but not mandatory as we will include training.
- Bilingualism
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent communication skills, both verbal and written.
- Ability to maintain confidentiality and handle sensitive information responsibly.
- A proactive attitude towards problem-solving and teamwork.

Pay: $20-23/ hourly
