The Opportunity:
We are seeking a highly organized, proactive and personable Manager, Human Resources & Office Experience to support both human resource operations of the team, in addition to the day-to-day administrative and operational needs of the office. The ideal candidate will possess strong communication skills, a knack for multitasking, an ability to easily transition between high-level & “in the weeds” tasks and a passion for delivering exceptional employee experiences. This role will act as a key liaison between multiple departments and ensure seamless operations across talent acquisition, onboarding, employee engagement, and office management. Strong critical thinking and problem-solving skills are essential to address challenges proactively and find creative solutions that enhance efficiency and employee satisfaction.
Responsibilities:
Recruitment & Hiring
- Support & collaborate with the hiring managers throughout the recruitment cycle including: reviewing and posting jobs on Jazz HR, providing guidance on standardized JB recruiting milestones, supporting with interview logistics and engagement of top candidates throughout the interview process
- Maintain and update the company’s hiring tracker to ensure visibility on status of open roles amongst the leadership team
- Collaborate with the hiring manager and COO to draft and send employment agreements to the final candidate. Exercise professional judgement during the offer process to ensure any concerns and/or risks are flagged and addressed immediately
Onboarding & Offboarding
- Prepare and send New Hire Packages via BambooHR, ensuring all required documentation is collected
- Coordinate with managers to complete 30-60-90 day onboarding plans for new hires
- Set up and send calendar invites for Onboarding Week
- Order necessary equipment (laptops, company swag, etc.) for new employees
- Set up employees on internal systems (email, Slack, Zoom, etc.) and ensure seamless technology access
- Provide hands-on support and HR on-boarding session during the first three hours of a new hire’s first day, ensuring they have all they need
- Conduct regular follow-ups with new hires during their probationary period, at the 1-week, 30-day, 60-day, and 90-day marks to address any questions or resource needs. Ensure timely escalation of any major concerns to the employee manager
- Facilitate employee offboarding as needed
Employee Experience & Engagement
- Maintain the Employee Hub (on Notion) with up-to-date and relevant internal resources and information.
- Draft Change Request forms and Employment Agreements for internal team changes, such as promotions or compensation adjustments
- Manage team-wide event planning, including virtual, hybrid, and in-person events
- Ensure shared work calendar is updated with important team-wide events and celebrations
- Oversee the logistics of the company’s Annual Performance Reviews
- Frequently assess the overall well-being of the team and escalate immediate concerns or important observations to the Leadership team or people managers as necessary
- Stay up to date on relevant workplace, legislative & people polices; collaborate with the COO to apply at JENNY BIRD as needed
Benefits Administration
- Generate monthly reports from BambooHR to ensure data alignment with RBC
- Collaborate with the benefits team during renewal periods and ensure new hire benefits are processed accurately
- Act as the primary contact for employee questions related to health benefits
HR Technology Management
- Maintain accurate employee data within BambooHR and liaise with BambooHR support for system customizations
- Serve as the administrator for various platforms, including:
- Slack, Dropbox, Zoom, G-Suite, Notion, JazzHR
- BambooHR, RBC Insurance/MyHSA, Amazon, WagePoint, Officely, HRDownloads
- Manage account access, system configurations, and platform troubleshooting as needed
Office Management
- Order office supplies and snacks on a weekly basis from Amazon, Costco, or similar vendors
- Ensure the office is stocked with essentials and check mail regularly
- Act as point person with the Eastroom for inquiries and/or issues related to office space usage and facilities
- Work with the Leadership Team to maintain office organization and optimize office layout
Administrative Support
- Coordinate travel logistics, including flight and accommodation bookings for employees. Be point person for employee concerns & issues while travelling
- Manage logistics for team-wide events (Town Halls, 4HS), ensuring meals are arranged, technology setup is complete and appropriate communication is sent to employees via Slack and calendar invites
Note that some of the above responsibilities may be tweaked slightly based on the candidate's experience and areas of strength. Any such minor amendments to the above will be shared with the candidate as a part of the hiring process.

What you bring to the table:
- 3-5+ years of experience in human resources and/or office administration and/or in an executive assistant role
- You are passionate about people and want to deliver the best in class experience for your team!
- Proficiency in managing multiple projects within a fast-pace environment
- Ability to coordinate amongst multiple departments
- Excellent professional judgement
Location:
We have flexible working arrangements for the team. This role requires you to be in the office 3-4 days a week.
