Ferrovial Construction Canada Inc. and VINCI Construction Grands Projects are undertaking the design, build, and finance the Ontario Line Southern Civil, Stations, and Tunnel (South Civil) package.
As Ontario Transit Group, we are now mobilizing our design and construction crews, with major works. The South Civil contract is anticipated to be completed in 2030.
The project will strengthen Ontario’s economy by supporting an estimated 1,500 jobs at the peak of construction.
What is the project?
- A six-kilometer tunnel and associated tunnelling works from Exhibition to Don Yard portal (west of the Don River).
- Stations:
- One above-ground station to be integrated with the existing GO Transit Exhibition Station.
- Two underground stations to be integrated with the existing TTC Osgoode and Queen subway stations.
- Four new underground stations (King/Bathurst, Queen/Spadina, Moss Park, Corktown).

The Executive Assistant will provide high-level administrative support to the Project Director and Operations Director, ensuring seamless scheduling, travel arrangements, and overall operational efficiency. This role requires exceptional organizational skills, the ability to manage high-volume requests in a fast-paced environment, and flexibility to support dynamic schedules. The successful candidate will work from our Queen Street office in downtown Toronto five days a week.
Key Responsibilities:
Scheduling and Calendar Management:
- Oversee and coordinate complex schedules for the Project Director and Operations Director, managing high volumes of meeting requests.
- Prioritize and adjust meetings as necessary to accommodate shifting deadlines and priorities.
Travel and Accommodation Arrangements:
- Organize and manage travel itineraries, including flights, accommodations, and transportation, for both internal and external stakeholders.
- Ensure all travel logistics align with project timelines and requirements.
Meeting Preparation and Support:
- Prepare meeting agendas, compile briefing documents, and ensure directors are well-equipped for engagements.
- Take minutes during key meetings and distribute action items to relevant stakeholders.
Communication and Correspondence:
- Serve as the primary point of contact for the Project Director and Operations Director, managing correspondence and addressing inquiries on their behalf.
- Ensure timely and professional communication with internal and external stakeholders.
Administrative Tasks:
- Maintain and organize files, records, and documentation for easy retrieval.
- Assist in creating reports, presentations, and other business documents as required.
- Liaison and Coordination: Act as a liaison between the directors and other departments to ensure smooth workflow and communication.
- Coordinate with project teams, contractors, and stakeholders on behalf of the directors as needed.
Flexibility and Adaptability:
- Be available to support the directors during extended hours when necessary to meet project demands.
- Adapt to the fast-paced and dynamic nature of the project environment.
Qualifications
- Minimum of 7-10 years of experience as an Executive Assistant in a high pressure environment.
- Proven ability to manage high volumes of scheduling and requests in demanding, fast-paced environments, with 1-2 years of experience working in the GTA.
- Experience coordinating travel arrangements and accommodations for multiple stakeholders.
- Exceptional organizational and time-management skills, with acute attention to detail.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Ability to handle sensitive and confidential information with discretion.
- Flexible and available to work extended hours when needed.
- Must be available to work in-person at our Queen Street office in downtown Toronto five days a week.
- Fluency in English is a must - bilingual in French or Spanish is an asset
- Experience on an infrastructure is an asset
