Administrative Assistant – Trading
Location: Torbram
Working Schedule: Mon-Fri 8am to 5pm
Reporting to the Assistant Manager, Trading Operations & Support, the Trading Administrative Assistant will use their critical thinking and attention to detail to support the Inventory Control, trading purchasers and Sales Representatives with administrative assistance where required.
The Trading Administrative Assistant will contribute to making Weston Forest the market leader in the distribution of forest products to truss manufacturers and retailers in both Canada and the United States by providing outstanding service and building lasting partnerships.
Duties & Responsibilities
- Create and send Sales Orders and Purchase Orders
- Track and follow-up on all outstanding purchase orders
- Tracking all sales orders and proactively informing traders of their status
- Inbound and Outbound notifications to reloads
- Adding railcar numbers into purchase orders
- Coordinating with sales and/or suppliers for changes to orders due to timing or inventory issues
- Assist traders with any required paperwork
- Actively manage all outstanding purchase orders, on a weekly basis, follow-up on all overdue POs and update both the purchaser and Tallyworks as needed
- Maintain and update customer information in Salesforce and Great Plains, as required
- Address concerns brought forward by credit, customers, sales staff, Accounts Payable, Operations and Accounts Receivable, Reloads, etc
- Assist with physical inventory counts, both on-site and off-site, as needed
- Assist with customer collections, following up with sales or directly with customer as needed
- Provide feedback and expertise to team members regarding inventory issues, opportunities, operational challenges etc
- Gathering all information necessary to process credit notes accurately
- Releasing orders on a daily (or multiple times per day) basis (adjusting tallies/grades, as needed)
- Managing accurate inventory levels at all facilities, on-site and off-site
- Ensure Assistant Manager – Trading Operations & Support is aware of any Salesorder or Purchase Order related issues along with plan of action to reconcile
- Report and monitor key performance indicators and provide suggested adjustments to Assistant Manager – Trading Operations & Support
- Other duties as required
KNOWLEDGE & SKILLS REQUIRED
- Ability to manage multiple tasks and perform data analysis with attention to detail
- Critical thinking skills and the ability to work effectively under pressure in a fast-paced environment

- Knowledge of United States geography is a plus
- Proactive and self-driven
- Organizational skills
- Working knowledge of CRM (Salesforce), Windows, Word, Excel, and Outlook
- Experience in procurement, logistics, and/or scheduling is a plus
